As the Global People Operations Specialist, you will lead the operational backbone of LoopMe’s People function. You will own and optimize our core People processes, ensure the integrity and strategic use of our HR systems (with a primary focus on HiBob), and oversee the efficient delivery of HR services across all regions.

You will collaborate closely with People Partners, Finance, Legal, and our EoR partners, acting as the subject matter expert on HR operations, systems governance, and lifecycle workflow design. Additionally, you will play a key role in supporting the development and enabling the success of the People Operations Coordinator, ensuring alignment, knowledge transfer, and operational continuity as the function matures.


What you’ll be doing:

HR Service Delivery

  • Lead the HR Service Desk to ensure global queries are triaged and resolved in line with established SLAs and service standards.
  • Monitor service performance metrics and quarterly trends, presenting insights and recommendations to HR leadership.
  • Maintain and continuously improve SOPs, process documentation, and workflow standardization.
  • Support colleagues in resolving complex, sensitive, or cross-regional People Operations issues to maintain a high-quality employee experience.

Onboarding Program Ownership

  • Own and manage the global onboarding framework to ensure a consistent, engaging, and compliant new joiner experience.
  • Oversee preparation of employment agreements and onboarding documentation across jurisdictions.
  • Partner with EoR providers (e.g., Oyster, HR One) to ensure compliant and timely new hire setup.
  • Ensure all systems, benefits, IT access, and induction activities are executed smoothly and accurately.

HRIS & Systems Ownership (HiBob)

  • Serve as the primary HiBob administrator and subject matter expert, owning configuration, data governance, workflows, permissions, and reporting quality.
  • Lead system enhancements, feature enablement, and automation improvements.
  • Conduct routine data audits to maintain data quality, compliance, and organizational reporting accuracy.

Offboarding Process Coordination

  • Manage global offboarding workflows, including documentation, communications, benefits removal, equipment recovery, and IT access removal.
  • Ensure organizational structure updates and reporting line changes are reflected accurately in HiBob.

Workforce Reporting & Insights

  • Own recurring HR data reporting for People Partners and Finance, including headcount, turnover, compensation structures, and workforce planning analytics.
  • Support key People programs (e.g., performance cycles, compensation reviews) through system configuration and dataset preparation.

Payroll Coordination

  • Maintain the monthly payroll tracker and ensure complete, accurate, and timely communication of employee changes to Finance.

Team & Leadership Support

  • Support the development, onboarding, and operational readiness of the People Operations Coordinator, including:
    • Sharing system knowledge and administrative expertise.
    • Co-owning process transitions and documentation.
    • Providing service continuity during holiday or periods of absence
    • Collaborating on prioritization, workload planning, and operational improvements.
  • Act as a trusted operational advisor within the People team.

General People Operations

  • Draft and maintain HR documentation, templates, and communications as needed.
  • Contribute to global People initiatives, systems rollouts, and continuous improvement efforts including identification of single points of failure or a lack of documentation.

Preferred Qualifications:

  • Extensive, hands-on experience configuring, administering, and optimizing HiBob (workflows, lifecycle management, reporting, permissions, automations).
  • Strong knowledge of global HR operations, employment lifecycle processes, and data governance.
  • Experience working in a distributed, multi-jurisdiction environment; familiarity with EoR arrangements is beneficial.
  • Skilled in analyzing data, spotting trends, and translating insights into operational improvements.
  • Meticulous attention to detail and comfort managing multiple time-sensitive priorities.
  • Strong communication and stakeholder management skills across different time zones and cultures.
